This IPAC edition uses 3 different systems for material submission:
1.SPMS - traditional IPAC system for paper submission and publication in JACoW proceedings. Deadline for paper submission: May 19th. Click here to access the submission page.
2.WHOVA -for registration and upload of poster files EXCEPT pre-recorded videos.
3.IPAC21 Website - for upload of pre-recorded videos.
Each POSTER will consist of 3 types of files: a short pre-recorded video, a pdf poster file and a cover photo.
The files will be available to all participants a week in advance of the Conference through the WHOVA platform. During the Conference, each poster will be assigned to an individual ZOOM room (accessible through WHOVA) for live discussions.
Please note that to allow visitors from different time zones, each poster will be presented in 2 sub-sessions each day, A and B, before and after the live oral session. The posters should be manned at least part time in both sub-sections. It is strongly recommended that when the poster presenter needs to be away, he/she leaves a message in the ZOOM room (using share screen) informing when he/she will be present for live discussions.
Description of poster files:
1. A short pre-recorded video
A short pre-recorded video of about 5 minutes containing the highlights of the paper.
All presentations must be pre-recorded and sent by the date May 14th (updated deadline)
Screen Recording Platforms (Suggested)
If you are not familiar to screen recording, we have some suggestions for you to try and use:
1) Zoom Meetings
The event will use zoom as a tool for live session. If you prefer or want to get familiar with the platform, you can register for free Zoom service and record your own presentation following their instruction. Watch the tutorial here.
2) Power Point
If your full presentation was prepared using Microsoft PowerPoint, you may want to use its native video export feature to record your prerecorded talk.

This is a free and open source tool available for download and can be installed on GNU/Linux, macOS and Windows.

Some useful tips
Having both your screen and camera recorded is strongly recomended. Seeing people during these pandemic times is good!
Your device’s microphone might be enough but if you use the built-in microphone from an earphone that might be even better;
Ensure there will be no interruptions or invasive background noise while you present;
Use natural light from window or door to light up your face, not behind you;
We strongly recommend that you use the laser point tool during the presentation (power point)
Position the recording device on the height of your eyes, so as you speak you are looking to your viewer’s eyes;
Please check your video before sending it to see whether you are happy with the recording.
Make sure you watch your vídeo before sending it. No modifications will be done by the organizing committee.
2. A poster PDF file (<10MB, limited by WHOVA)
The poster file can be a multi-page PDF file with max size limited to 10MB.It is suggested that the video presentation slides (including or not additional ones) be used in the poster file. Traditional one-page A0 posters are also acceptable at the discretion of the presenter but may be more difficult to visualize in a computer screen.
Registered authors will receive an email with a personal link to upload the files.
3. A cover photo
At the WHOVA platform the list of posters in each poster session will be displayed with this general format, with the cover photo highlighting the poster:
The cover photo is limited to 1000 px x 1000 px, with a recommended size of 800 px x 450 px.
